Building a Group Insurance Line From Scratch: What It Actually Takes

Group Insurance Needs Its Own Technology, Not a Repurposed Individual-Policy System
Group insurance now accounts for just over half of India's total health insurance premium market, 52.3%, or ₹61,435 crore in FY25, according to IRDAI's Annual Report 2024-25, and it's still growing. For an insurer, MGA, or benefits platform building a group insurance line for the first time, the instinct is often to adapt whatever policy administration system already handles individual policies. That instinct doesn't hold up. Group insurance involves three distinct parties, broker or partner, employer, and employee, each needing a different view of the same policy, and a system built for one policyholder and one insured was never designed to support that.
An individual policy has one policyholder who is also the insured, and the relationship barely changes between issuance and renewal. A group policy has one policyholder, the employer, potentially thousands of insureds whose status changes constantly, and a broker or partner originating and servicing the business throughout. That difference touches almost every piece of the technology stack.

What Actually Has to Exist
A distribution layer for brokers and partners
Group insurance is typically originated and serviced through brokers and channel partners, not sold direct. The platform needs lead capture from multiple sources, RFQ submission, quotation generation with versioning, and a way for a broker managing several corporate accounts to track them individually rather than as one undifferentiated book.
Real-time and offline premium calculation
Employers need real-time quotes based on employee inputs and available options, but running every quote calculation live against backend systems doesn't scale well at volume. An offline quotation engine that handles the bulk of calculation locally, reserving live API calls for when they're actually needed, keeps the system responsive as quote volume grows.
Master policy creation with maker-checker controls
Because a master policy affects potentially thousands of covered lives at once, it needs a maker-and-checker process, one person creates it, a second verifies it, before Certificates of Insurance and digital eCards generate from it. This isn't optional rigor, it's the control that catches an error before it propagates to every employee's coverage record.
A self-service endorsement engine
Because a group's workforce changes constantly, additions, exits, dependant updates, employees and employers need to submit these changes directly and continuously, with supporting documents attached, not batch them into periodic emails for manual processing.
Claims and service requests tied to the live census
Claims intimation, tracking, and general HR or IT service requests all need to check against the same current census used for enrollment and endorsements, with real-time status visible to whoever raised the request, rather than a black box someone has to chase.
Security, integration, and governance as defaults
Because employee data and payroll integration are involved, multi-factor authentication and role-based access for every stakeholder type, sales, operations, admin, corporate HR, aren't optional additions. Neither is integration with existing payroll and HR systems, which is what keeps the census actually accurate rather than manually re-entered.
What This Looks Like Once It's Built
Get these pieces right and a group policy stops being a once-a-year administrative event and becomes something that runs continuously with minimal manual intervention, exactly the lifecycle we walked through in a companion piece on how a group policy actually moves from lead capture through renewal.
Mozart Group Portal is built around this exact set of requirements, a single web and mobile platform spanning partners, employers, and employees, with role-based access, white-label theming for partner-specific rollout, and the maker-checker and audit controls a multi-party product like this actually needs.
